Sending product to creators

When a creator agrees to a deal, they usually need the product first. Creator Jam sets up the Shopify order for that send from the deal’s conversation and then follows the parcel until it’s delivered. You don’t have to keep a spreadsheet of who got what. Your store needs to be connected first.

The flow has four steps:

  1. Import the products you send to creators on the Products page.
  2. Create a gifted draft order from the creator’s conversation.
  3. Someone on your team completes the draft in Shopify and ships it as usual.
  4. Creator Jam follows the order’s fulfillment and tracking.

If you’ve already shipped something another way, you can link that order to the conversation instead.

The draft order form only lists products you’ve imported, so you don’t have to scroll through your whole catalog every time.

The Products page: your Shopify store's products on top, the ones you've imported for draft orders below.

  1. Search all products… searches your store by product title.
  2. Import copies a product into Creator Jam. Products you already have say Imported.
  3. Load more shows the next page of products.
  4. The trash icon (Remove) takes a product off Imported Products. Nothing changes in Shopify.
  1. Open Products in the sidebar.
  2. Under Store Products, find the product. The search box matches product titles, and Load more shows the next page.
  3. Select Import. The row then says Imported, and the product appears under Imported Products.

Importing saves a copy of the product’s title, vendor, image and variants in Creator Jam. It doesn’t change anything in Shopify. The copy doesn’t update itself, so if you add a variant in Shopify later, remove the product from Imported Products with its trash icon and import it again.

The Create Draft Order panel for Sam Builds Stuff: the products, the shipping address and the details, with Create Draft Order pinned to the bottom.

  1. Open the creator’s conversation and find the Shipments section.
  2. Select Create Draft Order.
  3. Under Products, choose a product, its variant and a quantity. Select Add product for each extra item.
  4. Fill in Shipping Address. First name, last name, address line 1, city and ZIP or postal code are required. The country starts as United States, so change it for creators abroad. Carriers often need a phone number for international shipments.
  5. Under Details, check the Email, which is required. Creator Jam fills in the first email saved on the conversation. You can change the additional tag or add a Note.
  6. Select Create Draft Order.

Creator Jam creates the draft in Shopify with:

  • the products, shipping address, email and note you entered
  • a 100% discount called “Creator Gift”, so the products come to $0
  • the tag Creator Jam Order, plus your additional tag if you set one. Your team’s Default Order Tag from the Shopify card on the Integrations page fills that field automatically.

The draft appears under Shipments with a Draft badge and its Shopify draft number, such as #D12.

Creator Jam creates the draft but doesn’t complete it, so nothing ships until someone on your team reviews it. In your Shopify admin, open the draft under Orders → Drafts, complete it, and fulfill it the way you fulfill any other order.

You don’t need to come back to Creator Jam afterwards. Creator Jam picks up the completed draft on its next status check and swaps it for the real order number. If you select the Refresh icon on the draft, it checks right away.

To change a draft, select its pencil icon (Edit draft), make your changes, and select Update Draft Order. Creator Jam replaces the draft in Shopify with a corrected one, so the draft number changes. You can only edit drafts. Once a draft is completed, make any changes in Shopify.

The trash icon works differently for drafts and real orders:

  • On a draft, it deletes the draft in Shopify too.
  • On a completed order, it only removes the order from the conversation. The order itself stays in Shopify.

Use this when product went out another way, for example an order created by hand in Shopify admin.

  1. In the conversation’s Shipments section, select Import Order #.
  2. Type the order number you see in Shopify, such as 1042.
  3. Select Add, or press Enter.

Linking doesn’t change anything in Shopify. A conversation can have as many orders as you need. You can link an order before Shopify is connected, but its details only appear once you connect.

In the conversation, each order card shows:

  • the order number and a status: Unfulfilled, Partial, Fulfilled, or Draft for drafts
  • who it’s going to, with their email and shipping address
  • the products and quantities
  • the carrier and tracking number, which links to the carrier’s tracking page when Shopify has one

Orders in the sidebar lists every order linked to any conversation, across all your creators.

The Orders page lists every Shopify order linked to a conversation, for all your creators.

  1. Refresh re-checks every order that is still in progress and hasn't been checked in the last 30 minutes.
  2. A draft says Draft and shows its draft number, such as #D12, until someone completes it in Shopify.
  3. Checked says how long ago Creator Jam last read the order from Shopify.
  4. Select a row to open the creator's conversation, where the order card shows the tracking.
Column What it shows
Channel The creator the order belongs to
Order The Shopify order number, such as #1042, or the draft number, such as #D12

Fulfillment Unfulfilled, Partial or Fulfilled. No data means Creator Jam hasn’t read the order yet.

Checked How long ago Creator Jam last read the status from Shopify

Tracking numbers aren’t shown on this page. Select a row to open the conversation, where the order card shows the tracking.

Creator Jam checks orders in a few ways:

  • Once a day, it checks your linked orders in the background.
  • When you open the Orders page, or select Refresh there, it re-checks any order that’s still in progress and hasn’t been checked in the last 30 minutes.
  • When you open a conversation, it reads that conversation’s orders again, apart from drafts.
  • The Refresh icon on an order card checks that one order right away. On a draft, it checks whether the draft has been completed.

Orders that are finished are checked only about once a week. That includes orders where every shipment is marked delivered, fulfilled orders with no tracking to follow, and refunded or voided orders. Drafts are checked every time, so a completed draft turns into its real order without you doing anything. If Shopify can no longer find an order, Creator Jam keeps the last status it saw.
