Conversations and the pipeline

A conversation is one deal with one creator: its rate, its stage, its publish date and everything attached to it, from shipments to discount codes. Budget, ROI and CPM all start from your conversations, so keeping their stage and date current keeps every other number honest.

Open Conversations → Campaigns to see your pipeline. Deals still being worked are grouped into four sections: Reach out, Follow up, Negotiating and Finalize contract. On a phone the board shows one section at a time: tap a stage at the top to switch, and the number next to it tells you how many deals are in it.

The Campaigns board: one section for each stage a deal goes through before it's signed.

  1. The campaign tabs filter the board. All Campaigns shows every deal; + adds a campaign.
  2. + on a section starts a new deal in that stage.
  3. A card's buttons move the deal to its next stage. Done moves a Reach out deal to Follow up.
  4. … opens the deal or moves it to any stage with Move to.

Each card shows the creator, their first email contact, the rate, the date the deal was added, and the publish date with how many days remain. A deal that comes from a retainer also shows its content type, such as Sponsored Segment.

The tabs across the top filter the board by campaign. All Campaigns shows everything. See Campaigns and AI outreach for creating and managing campaigns.

Each card has buttons for the usual next step:

Section Buttons on the card
Reach out Done moves it to Follow up
Follow up Dead, or Negotiating
Negotiating Dead, or Deal made, which moves it to Finalize contract
Finalize contract Done moves it to Content expected

You can also drag a card into another section. On a touch screen, press and hold the card before you drag.

To move a deal to any stage, including ones not on the board, click … on its card, choose Move to and pick the stage. This is the easiest way on a phone, where only one section shows at a time.

… on a card, then Move to, lists every other stage, including the ones after the board such as Published.

When a deal reaches Content expected, it leaves the board. You’ll find it on Conversations → Monthly Overview under its publish month, and in the conversation list on the creator’s channel. To set a later stage, such as Published, use Move to on its card, or open the deal and change its Status.

The creator needs a channel first. If they don’t have one yet, add it on Channels (see Channels).

  1. On Conversations → Campaigns, click + next to the section the deal belongs in. The new deal starts in that stage.

  2. Fill in the Add New Conversation form:

    Field What to enter
Campaign The campaign this deal belongs to. It defaults to the campaign tab you’re on, or your default campaign.
Channel Information Search for the creator, for example Sam Builds Stuff.
Rate What the deal costs, such as $2,500. You can leave it at 0 while you negotiate.
Publish Date When the content should go live. It defaults to the 15th of next month.
    Status The deal’s stage.
Channel Screenshot Optional. Upload a screenshot of the creator’s channel or paste one from your clipboard. The AI email writer uses it.
  3. Click Add Conversation.

You can also click + New Conversation on Conversations → Monthly Overview. That starts the deal in Finalize contract, dated the 15th of the month you’re viewing, since Monthly Overview shows only booked and published deals.

Stage What it means How it counts
Reach out You plan to contact the creator. Shown on the Home budget as negotiating, but not counted.
Follow up You’ve reached out and are waiting to hear back. Negotiating, not counted.
Negotiating You’re agreeing terms. Negotiating, not counted.
Finalize contract Terms are agreed and the contract is being signed. Booked: counts against the month’s budget. Listed under Coming up on Home when due in the next 14 days.
Content expected The deal is signed and you’re waiting for the content. Retainer deliverables start here. Booked, as above.
Published The content is live. Published spend on the Home budget and the ROI page. Included in Northbeam and Lifetimely spend syncs.
Dead The deal fell through. Not counted on the Home budget or the ROI page.

Early stages aren’t counted against your budget because the rate can still change or the deal can fall through. A deal counts in the month of its publish date. If you send creators to Fairing’s survey lists, creators with a booked or published deal are included (see Sending creators to Fairing).

Click a card to open the conversation panel. You can also open it from a row on Monthly Overview or from a channel’s conversation list.

The top of the conversation panel for Sam Builds Stuff's deal, down to Campaign and Status.

From top to bottom, it holds:

  • The creator and their contacts. Contacts come from the channel, so edit them there.
  • Add Feature (or Add Another Feature) to attach content to the deal, and Delete.
  • Content cards for each piece of content on the deal. Click one to edit it or see its performance.
  • Spend split, once the deal has two or more pieces of content. See One deal, several videos.
  • A channel card with the creator’s platform, followers, country and category. Total Spent adds up their published deals, and Upcoming Spend adds up every deal that isn’t Published or Dead.
  • ROI summary, with spend, views delivered (YouTube only), average CPM, and revenue and ROAS from the deal’s discount codes and from Fairing, shown separately. It opens on its own once the deal is Published. See Creator performance.
  • Rate and Publish Date, with → Next week and → Next month to push the date back quickly.
  • Campaign and Status.
  • Custom Fields, if your team has set any up. See Custom fields.
  • Shipments, Discount Codes and Short Links, which work with your connected Shopify store. See Sending product to creators, Discount codes and Short links.
  • Ad Usage Licenses bought for this deal. See Ad usage licenses.
  • Outreach & Screenshot, where you draft the outreach email. See Campaigns and AI outreach.

Not everything in the panel saves the same way:

Saved when you click Save Changes Saved as soon as you make the change
Rate, publish date, campaign, status, custom fields and the outreach email Content, the spend split, orders, discount codes, short links, ad usage licenses and the channel screenshot

If you close the panel with Cancel, unsaved changes to anything in the left column are lost.

Cancel and Save Changes are at the very end of the panel, below Outreach & Screenshot.

A deal’s publish date decides which month it counts in, on the Home budget, Monthly Overview and the ROI page.

  • When you add content, the deal takes the publish date of its earliest piece. Adding a later Short never moves the deal into a later month.
  • If the deal has one piece of content, changing the deal’s Publish Date moves that piece’s date too.
  • If it has several, each piece keeps its own date. The panel says so under the date field. Change the pieces’ own dates instead, because the deal follows the earliest one.

Click Delete in the panel, then confirm. Deleting can’t be undone. If the deal fell through, consider setting it to Dead instead, so you keep the history.

Deleting a conversation doesn’t delete its content. The videos stay, with their view history, but they’re no longer linked to a deal, so they carry no spend. Its orders, discount codes and short links are unlinked from Creator Jam’s records but stay in your Shopify store, and a code still works at checkout.

If you’ve connected Claude, it can create and update conversations and change the stage of many deals at once. See Claude and AI assistants (MCP).
